Who we are

ESM LLC is a Virginia limited liability company providing IT services to businesses in Virginia, Maryland and Washington, DC. This policy explains what information we collect through dentalitsystems.com, why we collect it, and what we do with it.

Information you give us

When you submit our contact form, we collect the information you enter into it: your name, your business or practice name, your email address, your phone number, your location, the number of operatories at your practice, and whatever you write in the message field.

We only collect this because you typed it in. We do not buy contact information or obtain it from data brokers.

Please do not send patient or client information

Our contact form reaches us by email and is not a secure channel. Do not include patient names, medical or dental records, account numbers, or other sensitive personal information about third parties. If you need to discuss something specific, tell us that in the form and we will arrange a call.

If you send us information of this kind anyway, we will delete it rather than retain it.

Information collected automatically

Our website is hosted and delivered through Cloudflare, which processes technical information about requests to the site — including IP addresses, browser type, and the pages requested — in order to serve the site and protect it from attacks. This is standard for any website and happens whether or not you contact us.

We do not use cookies to track you across other websites, and we do not sell any information about you.

Cookies and similar technologies

Cookies are small files a website stores in your browser. We use them for two things: keeping the site working properly, and measuring whether our advertising is effective. We do not use cookies to build a profile of you, and we do not sell any information collected through them.

You can block or delete cookies through your browser settings. The site will continue to work normally if you do.

Advertising and measurement

We advertise our services online, including through Google. As a result:

• Third-party vendors, including Google, show our ads on websites across the internet.
• Third-party vendors, including Google, use cookies and device identifiers to serve ads based on someone's past visits to this website.
• We use this data to measure whether our advertising works and to reach people who have visited the site before.
• We share information with these vendors so they can perform advertising measurement services on our behalf.

You can opt out of Google's use of cookies and device identifiers by visiting Google's Ads Settings. You can opt out of other vendors' use of cookies through the Network Advertising Initiative opt-out page, or control device identifiers through your device's own settings.

Do Not Track

Some browsers send a "Do Not Track" signal. There is no common industry standard for how to interpret it, and we do not currently respond to those signals. The opt-out options above remain available to you regardless.

We do not sell your personal information

We do not sell, rent or trade your personal information to anyone, and we never have. We do not share it for cross-context behavioral advertising beyond the measurement described above.

How we use your information

We use what you send us to respond to your inquiry, to prepare a quote, and to provide services if you become a client. That is the whole purpose. Specifically, we do not:

• Sell, rent or trade your information to anyone
• Add you to a marketing list without your agreement
• Use your information for anything unrelated to the reason you contacted us

Who else handles your information

Two services process form submissions on our behalf:

• Web3Forms receives the form submission and delivers it to us by email.
• Cloudflare hosts the website and routes email sent to addresses at our domain.

We also use standard email and business software to correspond with you and manage our work. We share your information with these providers only to the extent needed to operate, and we do not authorize them to use it for their own purposes.

We may disclose information if required by law, or where necessary to protect our rights or someone's safety.

Text messages

If you give us your mobile number, we may text you about your inquiry or your service with us. Message frequency varies. Message and data rates may apply.

Reply STOP to any message to stop receiving them, or HELP for assistance. You can also just tell us and we will stop.

Mobile opt-in information and consent is never shared with any third party for marketing purposes. Your phone number is used only so we can reach you about your work with us.

How long we keep it

If you contact us and do not become a client, we keep your inquiry for up to two years so we have a record of the conversation, then delete it. If you become a client, we keep records for as long as we work together and for a reasonable period afterwards for tax, legal and reference purposes.

Your choices

You can ask us to tell you what information we hold about you, correct it if it is wrong, or delete it. Email contact@dentalitsystems.com and we will respond within 30 days. There is no charge for this.

You can also simply ask us to stop contacting you, and we will.

Security

We take reasonable steps to protect the information we hold, including multi-factor authentication on the accounts that hold it and limiting access to those who need it. No method of transmitting information over the internet is completely secure, and we cannot guarantee absolute security — which is why we ask you not to send sensitive information through the contact form.

If something goes wrong

If we become aware of a security breach affecting your personal information, we will notify you and any required authorities without unreasonable delay, consistent with Virginia law.

Governing law

This policy is governed by the laws of the Commonwealth of Virginia.

Children

This site is intended for businesses. We do not knowingly collect information from anyone under 18. If you believe a child has submitted information to us, contact us and we will delete it.

Changes to this policy

If we change how we handle information, we will update this page and change the date at the top. Material changes will be reflected here before they take effect.
